In this tutorial, we will walk you through the steps to invite team members and how to collaborate together on NinjaOutreach.

Step 1: Inviting team members:

Click on your menu and select Settings.

In Settings, click the “My Team” tab.

Then, enter the name (optional) and email address of the team member you want to invite and click “Send Invite”.

Your team member should receive an invitation email and after they’ve accepted, you can use the toggle next to their name to switch them from Active to Inactive.

Step 2: Edit Permission Settings for Team Members

Hold on: did you complete Step 1 first? You need to add team members first before editing permission settings for each list.

Okay, once you have done so…

Head to Lists and click “Lists of Leads”.

To add team members to your list, you can either click the “+” button upfront on your list card:

Or you can also add them by clicking the Edit button and entering their names or selecting from the dropdown menu under “Permitted Team Members”.

Woohoo! You have successfully added your team member to the list!

Now they can build relationships and email leads in that list. Don’t worry, as the account admin, you can add/remove team members at any time.

Note: Only list owners are allowed to delete/edit list information. For team members who joined the list, they can only edit leads.

If you use a Gmail-hosted account to send your outreach emails, you may have come across the message above more than a few times.

You could even get that notice even when you’ve sent just a handful of emails.

There is no definite reason why this happens. The error code itself is vague. However, based on our research, it appears that it’s a way for Gmail to block their own users from sending the same message over and over. The same goes for Outlook (Office365) hosted email accounts.

There’s a way to work around this and that’s by using “Spintax” or dynamic text in your templates.

Spintax is what we call the process of putting alternative phrases in your email templates to create tons of potential unique combinations.

Using spintax ensures that you are sending unique content for each batch of emails you send in a single outreach cycle, and it lessens your chances of getting flagged as spam.

Here’s how to do add spintax to your templates:

First, let’s say you want to open your email by saying:

Hope all is well.

My name Aris and I work as a marketer at NinjaOutreach. I’m emailing because I noticed that you have linked to a certain post which I’ve recently read – (insert post here).

You can add spintax to your email template by following the format below:

[phrase1 here | phrase2 here]

[Hope all is well. | Greetings! | I hope I’m not interrupting anything.]

[My name is Aris | Aris here] and [I work as a marketer | I’m a marketer] at NinjaOutreach. [I’m emailing | I’m reaching out] because [I noticed | I saw] [that you have linked to a certain | you mentioned a] post which I’ve recently read – (insert post here)

This way, your email intro will have about 96 unique combinations before it repeats, and that’s just for the first paragraph.

As you add more dynamic text alternatives all over your template, the number of unique combinations will grow.

If creating spintax email templates sounds like too much work for you, then we strongly suggest using a hosted email account from the likes of Namecheap, Siteground, and WPXhosting, to name a few.

In order to track who opens and clicks your emails, you will need to set up a custom tracking sub-domain in your NinjaOutreach account.

This will allow you to view your email template’s open, click, and reply rates.

In this article, we will assume our main domain is myexample.com, and we will set up email tracking on the subdomain tracking.myexample.com. You can use any subdomain you want, it does not have to be “tracking”. Be sure to choose a subdomain name that you are not already using for something else.

Part 1: Adding a CNAME record

In the control panel of where your domain name is hosted, add a CNAME record with Host: tracking (i.e. the name of the subdomain you have chosen for tracking) and value of ninjapixelmails.com.

This step will depend on the domain registrar that you are using to manage your domain. We show examples for GoDaddy, Namecheap and Cloudflare.

Once you’ve created the record, save the configuration and go to your NinjaOutreach account.

Part 2: Add your sub-domain to NinjaOutreach

1. Click the drop-down at the top right corner of your NinjaOutreach and select “Settings”

2. By default, you will land in the Profile tab of the settings page and you will see this:

Simply click on the “Add Tracking Domain” button and add your sub-domain where you have the CNAME record.

3. Here’s an example:

4. A success message will display after you are done:

Note:

This green icon indicates that the setup is successful:

While the red exclamation mark represents that the setup is unsuccessful.

If this is the case, go back to “Part 1” above and review the information you have included in your CNAME record.

Follow the steps below to connect your Gmail to NinjaOutreach via IMAP integration.

1. Click the drop-down menu at the top right of your Ninja Outreach and select “Settings.”

If you get any errors while trying to connect your Gmail account, go over each step below to whitelist NinjaOutreach.

  1. Turn on access to Less Secure apps via this link: https://www.google.com/settings/security/lesssecureapps
  2. Go to https://security.google.com/settings/security/activity and see if anything is blocked.
  3. Turn off two-step verification
  4. Whitelist Ninja Outreach IP in your account activity
