In this tutorial, we’ll show you how to reach out to websites via their contact forms fast and easy!

How it works.

Before we go into the nitty-gritty steps, sending through contact forms simply allows you the ability to send a specific message (email) – whether new or pre-written – through a contact form on websites. It will include your contact details so they can get back to you.

Step 1: Download the Chrome Extension (to make this an automated process)

You will need the Chrome Extension before using this feature.

If you’re inside the NinjaOutreach website Click Menu and then select “Download Chrome Extension” or just go to this link https://chrome.google.com/webstore/detail/ninja-outreach-lite/ggafbfbbholjabenemjoimkkkookgbam

Before you log in to your NinjaOutreach Chrome Extension, get your license key ready first. You can find it here in your Menu under Settings, then select “Chrome Extension”.

To activate it, click the NinjaOutreach icon in your toolbar, log in and enter the license key.

Step 2: Fill Contact Form Fields

Head to Outreach and click Templates.

Click Create Template (the green button on the top left) or edit an existing one by clicking the Edit Template button.

A template window will appear and you’ll see a Contact Form tab. Click it and you’ll find the default form fields for you to fill in for that particular template.

Then, just fill in all the relevant fields with the details you want to appear on the contact form.

You can also set the values as default for all your templates by selecting “Set Values As Default For All Contact Forms” at the bottom of the page.

And when you’ve saved your details, a little bubble will appear next to your template name to tell you that it has your contact form details attached.

Step 3: Time to send!

Note: This feature is only available in Inbox Mode and can only be done manually. Auto-sending does not support sending through contact forms.

Click Outreach and select Inbox Mode.

In here, select the list you want to send to.

Tip: You can make this process more efficient by clicking the button “Filter” and then check “Has Contact URL”, so you will only see contacts with a contact URL.

Select the template you want to use and click the button “Send Through Contact Form”.

If the Lead has a contact URL it will open that page and load the template into it with your default fields.

You will still have to fill out any required fields and caches and click send in the actual browser – NinjaOutreach does not actually submit it.

Note: NinjaOutreach has an email limit of 200 emails per day. Which means, if you have 1000 contacts, your campaign will complete in the span of 5 days.

Now you know how you can use this feature to significantly help you save lots of time in your outreach process!

In this tutorial, we’ll show you how you can easily and quickly manage each of your leads such as their profile, relationship status, notes, sent emails, and RSS feed.

So, firstly, head to Lists and select “Your Leads”.

Simply hover over the bottom left bar of your lead card and options such as “Profile”, “Relationships”, “Notes”, “Send Emails”, and “RSS” should appear.

Great! Now let’s run through together what you can do in each of the section:

In Profile, you will see an overview of who the lead is such as their description, social media handles, tags, and web metrics (DA, PR, Shares, etc).

In Relationships, you will see the past and most recent interaction you and your leads had such as “Blogger agreed to a giveaway”, “Blogger published sponsored post”, and so on.

If there is nothing there, it means you have not added a relationship status and you can do so by either:

  1. Entering your own custom relationship status under “Last relationship”
  2. Selecting from our pre-made list by clicking the relationship icon.

When you’re done, press “Enter” and it will automatically be added to your list.

Notes

You can use Notes to keep track of your leads or share ideas, thoughts, and conversations with your team members. It will also sync across all your team members so it’s easy for everyone to follow up and stay updated.

Sent Emails

This section shows you all the emails sent to your leads including who the sender is and when it was sent. The great thing is that this syncs across all your team members, so everyone will always be in the loop.

RSS

If your lead has an RSS feed, then it will be displayed here along with the published date. This gives you a better sense of what your lead is up to, what they’re writing about, and it can help you personalize your outreach better by referencing to their recent posts.

How to Bulk Edit Leads

If you’d like to edit your leads all at once, here’s how you can do it:

Step 1: Select the bloggers

You can select bloggers individually by checking the boxes next to their card or select all of them at once by checking the box with “(0)”.

Step 2: Click the pen icon to edit

A Bulk Edit card should pop up and here you can make your edits such as moving them to a different list, adding tags, adding relationship statuses, and adding notes.

Filtering Leads
You can filter out the leads you want to see by clicking “Filter lists”. An expanded menu with all the attributes you can choose to specify will appear such as:

  1. Name
  2. Location
  3. All Contacts
  4. Email and Contact URL
  5. All Featured Pages
  6. Tags
  7. Top Level Domain
  8. Relationships
  9. Follower numbers
  10. Shares per post
  11. SEO metrics (DA, PA, Moz Rank, Alexa, etc)

Contacting Instagram influencers is slightly different from how you contact other types of influencers in NinjaOutreach.

First, for legal reasons, we can not disclose the email addresses of the Instagram influencers.

The process works like this:

  1. You send us your request to contact the Instagram influencer.
  2. We receive your request and contact the Instagram influencers ourselves.
  3. If the Instagram influencer replies, we send it to you, and you can then obtain the Instagram influencer’s email address.

But does this process mean you have to contact Instagram influencers one by one?

No.

Here is how to contact Instagram influencers in bulk:

  1. Go to the “Instagram influencers” search option.
  2. Run your search with your target keyword. 
  3. Apply the search filters that you need. 
  4. Select the leads you want to contact. (Or click the instant bulk option checkbox if you want to contact all the Instagram leads saved in your list.)
  5. Click on the “Contact” button, and insert your message. 
  6. Click SEND and this message will be sent to all the leads you have selected.

At NinjaOutreach, we impose a “sending limit” which limits email sends to not more than 200 emails a day per integrated email address.

We put this sending limit in place to preserve your outreach quality.

Sending too many similar emails under the same email address within a short period of time will degrade the sending reputation of that email address.

This will ultimately lead to getting those emails sent to the junk box instead of the inbox of your intended recipients and could even get your email account reported – or worse – shut down for spam.

If you want to send more than 200 emails, kindly integrate more than one email address to your account and launch multiple outreach campaigns, each using a different email address.

To maximise your NinjaOutreach account, we always recommend that you integrate your email into it. It makes outreach so much faster and easier.

Here’s how you can do so:

Note: Please make sure if you are using IMAP that you have enabled that on your mail client.

We cover all email clients so long as IMAP is enabled.

Start by clicking “Connect an Email account (IMAP)” and fill in the relevant fields with your IMAP details.

Not sure what your IMAP details are? You may need to search individually for how to do that on your specific email client as they can differ from each other.

Tip: Here are some suggested IMAP and SMTP ports that you can try if the recommended ports given by your email client do not work:

How To Send Emails in Outreach Mode

(Looking for Automated Campaigns? Scroll down further…)

Head to Outreach and select Inbox Mode.

Then, select the list you want to email to…

Select the template you want to use. Each template will auto-fill the subject and the body fields as well as any custom fields according to the available data.

Then, select the “From” email you want to use.

Lastly, click on the first lead in the list to load their email address.

Then click ‘Send Email’ when you’re done.

From then on the next lead on the list will auto fill. Simple!

Pro Tip: How To Send Emails Fast!

This is the process we recommend for the most efficient email sending:

Send to all who has an email address:

  1. Load your list
  2. Click Filter lists and under “Email and Contact URL”, select “Has Email” to load only those that have an email address. Then, close the filter box.

Then, go ahead and send your emails.

Next: Send to all who has a contact URL

  1. Go back to your “Filter lists” and select:
    “Has Contact URL” under “Email and Contact URL”
    “Email Not Sent” under “All Contacts”
  2. Send to all leads listed through contact form.

Potential debugging

Issues with emails rarely happen but when they do, there are the common issues:

  • You’re frequently getting logged out of your account
  • Emails are not sending, or delayed.
  • You are not getting replies. (if this is the case, make sure that the emails are appearing in your Gmail, from the same email which you sent. It is the only way we can retrieve it).

If you experience any of these issues, try the following (while logged into your Gmail):

  1. Confirm that you are enabling (turn on) Less Secure apps https://www.google.com/settings/security/lesssecureapps from this link
  2. Go to https://security.google.com/settings/security/activity and see if there is anything blocked
  3. Turn off two step verification
  4. Revoke access to NinjaOutreach and reintegrate it on your settings page in our app (this refreshes our access token)

How To Do Automated Email Broadcasting

So, email broadcasting allows you to set up automated outreach campaigns so you don’t have to do them one-by-one.

Note: This is only for plans from Small Agency and above. Currently, there is also a limit to sending 200 emails per day per individual email accounts, which includes active campaigns and follow-ups.

Step 1: Schedule a Campaign

Head to Outreach and select Autosending.

Then click “Schedule a Campaign” to get started!

Step 2: Add the necessary info

Simply select your list, choose a template, select your “From” email to begin with.

In here, you can even opt to filter by Relationship Statuses or tags!

Step 3: Select the number of emails sent in a day

You can send up to a maximum of 200 emails per day, per account.

Step 4: Specify the date and time when the automated email will be active.

You can either choose “Send Now” to send immediately or “Send Later” to schedule for a different date and time.

You can also select the days you want the campaign to be active; by default, all days are selected.

Select from the drop down the time when the Autosending will be active. You can also change this by adjusting the red slider, which sets the limit for the day and will affect how long it takes for the emails to be sent each day.

Specify the date and time when the automated email will be active.

Step 6: Clear any missing fields required for Autosending

Sometimes, some emails may come up to have missing fields whether it’s a missing first name, contact number, etc.

And if the missing field is required by the template, you’ll be required to fill it up before sending.

Just scroll to the bottom and you’ll see the “Check Leads” button in Red.

There are 2 ways you can solve a missing field:

1. You can click into “Check Leads” and your missing field should pop up, asking you to fill it up.

Click “Save” and it should fill up your missing field right away!

2. Alternatively, you can also quickly exclude them from the campaign through the “Quick Actions” button next to “Check Leads”.

Pro tip: You can use “Quick Actions” to apply that particular missing field to all your filtered lead..

NOTE: This will only apply to leads that have that particular field empty. The ones who are filled will not be changed.

And when you’re done, you should see the changes made on your email body.

You can also remove leads from getting an email (this will not remove them from the list itself) by clicking the checkbox and deciding to include or remove them from the campaign.

Step 7: Add Follow-ups

You can opt to send up to two follow-up emails after your original email is sent. Click “Select after ‘n’ days” to choose the gap days between each follow-up email.

Important:

  • If a lead replies, the follow-up will automatically be disengaged and will not send– you don’t have to do anything!
  • You can deactivate your follow-ups (all of them, or for individual users) in the campaign management section. You might need to manually turn off a follow-up if a lead responds from a different email address.
  • If you are using a non-Gmail account, make sure that replies are being forwarded to your Gmail account so the software can retrieve them and deactivate follow-ups.

Step 8: Double check that all details are correct

Finally, review the information and see how many leads will be emailed. Clicking launch at the bottom will initiate the campaign.

You’ll be able to see the status of each campaign on the dashboard. If you want to cancel one, just click trash can icon to delete campaign and no additional leads will receive emails.

To pause your campaign, simply click the toggle button to switch from “Active” to “Paused”

That’s it! You’ve mastered integrating your email and learnt the trick to simplify your outreach through autosending. Congrats! Now, go make some sales and build some relationships!

P/S: Friendly reminder once again, NinjaOutreach currently has an email limit of 200 sent emails per day. Which means if you have 1000 contacts, the campaign will complete in the span of 5 days.
